Rental Process Summary

Renting a Starbucks Store is very similar to renting a Car, Hotel Room or House.  In order to provide a scalable, economical, successful and efficient Rental service, a strict and defined process will be followed for each Rental.  Rentals and our Rental Process will not be customized for any individual Licensee, Renter, Rental or Venue.  Please find the highlights of this process below to get you familiar with this Program.

1.

DO YOU MEET THE REQUIREMENTS

Prior to requesting a reservation, please make sure you meet the minimum requirements to receive a Rental Store.  These requirements include the duration of rental, suitable location, necessary utilities available, adequate space, back of house requirements and permitting.

MAKING A RESERVATION

Please note that ONLY STARBUCKS can make a reservation.  Please allow adequate time in advance of the date that you need the Rental Store to follow this process.  Since the Pre-Rental Call must be performed 30 days prior to install, Reservations must be made with a minimum of 30 days prior to your desired installation date.  Please note that Rental Stores and dates are based on a “First Come First Serve” basis and the availability of PIVOT resources.  Reservations should be made at least 60 to 90 days in advance of your desired installation date to give you the best opportunity to obtain those dates.  Also note that the store model you request may or may not be available and your reservation may be switched to another model.  At the time of Confirmation of your Reservation, PIVOT will assign a Reservation Number.  This Reservation Number will be use as reference during the entirety of this Rental Process.

PRE-RENTAL CALL

30-Days prior to your requested Installation, STARBUCKS and PIVOT will perform a mandatory Pre-Rental Call.  The Renter, Licensee, General Contractor and On-site Starbucks Operations Team must be in attendance to complete this Step.  If this call can not be performed 30-days prior to your requested Installation date, you Installation Date will be moved accordingly.  Lack of attendance or the lack of critical information necessary to complete this call may result in an additional Pre-Rental Call and dates will be pushed out accordingly.  During this call, your Starbucks Store Model will be confirmed, dates scheduled and a list of site preparation requirements defined.

JOCKEY BOX

Approximately 2 weeks prior to Installation, PIVOT will ship you a Jockey Box(es) to be installed as part of Site Preparation.  This Jockey Box will be shipped via UPS GROUND unless otherwise requested.

5.

SITE READINESS – INSTALLATION

The Installation date for your Rental Store will be locked down 14 days prior to your Installation.  PIVOT will reach out to you prior to that date to confirm.  Once your Installation date is locked down, any changes will result in additional fees to your Rental and new dates will be assigned based on PIVOT’s availability of resources.  Extensive date changes may result in the cancellation of your Reservation and cancellation fees.  Communication is key and providing PIVOT as much notice as possible is in everyone’s best interest.  PIVOT will send you an email with a link to complete your Site Readiness – Installation form.  This form MUST BE completed accurately with all pictures uploaded showing that the site is ready.  If you fail to complete the form and/or your site is not ready, PIVOT will cancel your Installation, potentially your Reservation and you will be charged the appropriate fees.

INSTALLATION

PIVOT will arrive at the Installation Location at the time and place as documented during the Pre-Rental Call and meet the On-Site Contact as provided during that Pre-Rental Call.  Please provide direction and instructions to PIVOT only through your On-Site Contact to minimize confusion during the Installation.  Please make sure that all required personnel and resources are available on-site at the beginning of the Installation to ensure a timely and smooth Installation.  Failure of the site to be ready upon arrival or not having the required resources on-site (i.e. Plumber to tie in the sanitary connection) will result in additional fees and might require re-scheduling the Installation – delay the opening of your Rental Store.  At the conclusion of the Installation, PIVOT will perform a “Walk-Through” of the Rental Store with the resources you have on-site at that time, document the condition of this Rental Store and have you sign-off on the acceptance of this Store.  Please ensure that you Walk-Through this Rental Store at the conclusion of the Installation with our team – get all questions answered and any/all issues resolved.  Your On-Site contact is responsible to have all necessary personnel on your side available for this walk-through.  If there is no one available at the conclusion of the Installation for this Walk-Through, implied acceptance is provided.  Once PIVOT leaves the site, we will not return until the Rental Store is Taken Down.

7.

OPERATING YOUR RENTAL STORE

The Starbucks Rental Store functions as designed.  DO NOT MODIFY this Rental Store in any way and use it as it is intended to be used.  Any and all modifications, damage or missing equipment will result in additional fees charged to your Rental.  Please contact PIVOT or STARBUCKS if you have any questions or requests prior to doing anything to this Rental Store outside of how it is designed and intended to be used.  This Rental Store must be cleaned daily and a thorough cleaning nightly just like any permanent Starbucks Store.  If you have an issue with the Rental Store, please contact PIVOT immediately.  Please note that it is your responsibility to assist PIVOT with any necessary repairs and have the available on-site resources to facilitate the repair (typically your General Contractor or On-Site Maintenance Staff).

8.

SITE READINESS – TAKE DOWN

PIVOT will communicate with you on date adjustments during your Rental.  It is imperative that you inform PIVOT if you need to extend your Rental dates as soon as possible.  PIVOT will give you one last opportunity to extend your Rental 14 days prior to Take Down.  After that time, PIVOT will lock down your Take Down date.  Once your date is locked down, you will not be allowed to extend your Rental as another Rental will be scheduled for this Rental Store.  PIVOT will send you a link to complete the Site Readiness – Take Down form.  This link also has all of the instructions and an inventory of Rental Equipment to prepare your Rental Store to be Taken Down and avoid additional fees (i.e. Damages, Missing Equipment, Cleanliness, Site Not Ready, etc.).  Failure to compete this form or have your Rental Store ready for Take Down will not prevent PIVOT from Taking Down your Rental Store.  It will only result in additional fees and expenses charged against your Rental.

9.

TAKE DOWN

PIVOT will arrive at the Installation location at the date/time scheduled for your Take Down and meet with the On-Site Contact as provided to PIVOT.  Your Rental Store must be ready to be Taken Down at that time with all Rental Equipment located in or on the Rental Store.  All of your property and equipment must be removed prior to Take Down as well.  PIVOT will document your Rental Store prior to Take Down then commence Take Down and removal of the Rental Store.  Please make sure the Starbucks Transport Trailer is available and accessible at that time.  PIVOT will not try and locate missing equipment or move your property from the Rental Store.  PIVOT is not responsible for any items left on or inside of the Rental Store.  You (Renter/Licensee) are responsible for all damages, missing equipment and cleanliness of the Rental Store.

10.

CHECK OUT

PIVOT will perform a detailed “Check Out” of your Rental Store when received at our facility.  Additional fees will be assessed at that time for damages, missing equipment/items and/or cleanliness.  If you would like to return missing equipment/items to PIVOT to avoid additional fees, you must ship those items back to PIVOT immediately (as the sole expense of the Renter/Licensee).  You must provide PIVOT the tracking information no later than 3 days from the Take Down date and the missing equipment/items must be received by PIVOT no later than 7 days from the Take Down date to avoid additional fees.  PIVOT will Close Out your Rental 7 days after your Take Down date and all additional fees and expenses (if applicable) charged against your Rental.  Once your Rental is Closed Out, all fees/charges will be locked and will not be reversed.
